Summary: To work in accounts and finance department of organization, you have to follow the accounts manual and SOP’s to maintain books of accounts.

A. PRIMARY RESPONSIBILITIES:

1. Financial Management & Accounting

  • Maintain accurate and up-to-date financial records of all transactions.

  • Ensure timely recording of receipts, payments, and journal vouchers in the accounting software.

  • Reconcile bank statements, ledger balances, and financial records periodically.

  • Maintain proper documentation and filing of all financial records for audit and compliance purposes.

2. Budgeting & Fund Management

  • Assist in the preparation of annual budgets, forecasts, and financial planning.

  • Monitor actual expenses against budgets and report variances.

  • Ensure proper allocation of funds as per donor agreements and project requirements.

  • Support in tracking and managing grant funds, ensuring compliance with donor guidelines.

3. Compliance & Regulatory Adherence

  • Ensure timely filing of statutory returns such as TDS, EPF, and other regulatory compliances.

  • Maintain compliance with NGO financial regulations, FCRA, Income Tax, and other relevant laws.

  • Liaise with auditors and regulatory bodies for audits, financial reporting, and compliance checks.

4. Payroll & Expense Management

  • Process employee salaries, reimbursements, and statutory deductions.

  • Ensure timely disbursement of salaries, honorariums, and consultant payments.

  • Maintain and process travel and other staff reimbursements while adhering to financial policies.

 

5. Audit & Financial Reporting

  • Prepare financial reports for internal and external stakeholders, including donors and management.

  • Assist in both internal and external audits by providing necessary documents and clarifications.

  • Ensure financial transparency and accountability through timely reporting.

6. Grant & Donor Fund Management

  • Track funds received from different donors and ensure proper documentation.

  • Ensure timely reporting and compliance as per donor agreements.

  • Maintain proper utilization certificates and financial reports for donors.

7. Procurement & Vendor Management

  • Process vendor payments while ensuring proper approvals and documentation.

  • Verify bills, invoices, and purchase orders as per NGO financial policies.

  • Maintain vendor records and reconcile accounts periodically.

B. SECONDARY RESPONSIBILITIES:

1. Financial Process Improvement

  • Suggest and implement process improvements for better financial management.

  • Ensure adherence to financial policies and recommend updates as needed.

  • Support automation and digitization of financial processes where applicable.

2. Coordination & Communication

  • Work closely with project teams to ensure smooth financial operations.

  • Coordinate with banks, auditors, government agencies, and funding organizations.

  • Provide necessary financial training to team members on compliance and reporting requirements.

C. SAFETY RESPONSIBILITIES:

  • Ensure safe handling and storage of financial documents to prevent loss or damage.

  • Maintain confidentiality of financial records and sensitive donor information.

  • Follow best practices in cybersecurity to protect financial data and prevent fraud.

  • Ensure compliance with workplace safety norms in financial operations.

 

 

Performance Indicators:

  • Timely and accurate recording of financial transactions.

  • Compliance with statutory and donor requirements.

  • Effective budget tracking and variance reporting.

  • Timely audit completion with minimal discrepancies.

  • Efficient handling of payroll and reimbursements.

AUTHORITY:

  1. Provide reports and recommendations to senior staff regarding accountancy procedures and financial matters.

Foster a professional and collaborative work environment that ensures the seamless operation of the Accounts Department. Promote effective coordination between the Accounts Department and other departments to enhance efficiency and organizational synergy.
